Webinar Role Descriptions
Before/After Webinar
Faculty - Initiates project and budget process. Attends planning mtg. Prepares all presentation materials (slides and handouts) and submits them to TLS. Attends webinar orientation if new to process, and attends dry-run. Reviews evaluation questions, and modifies host script. Communicates issues and questions with TLS. Communicates requirements and responsibilities to outside presenters. Approves webinar archive.
Program Manager - Attends planning mtg, and carries out business office, CollegeNet and Netsuite processes. Attends webinar orientation if new to process. Prepares course page and announcement messages. Assists in coordination with outside presenters. Communicates issues and questions with TLS. May attend dry-run.
TLS -Facilitates instructional and technological aspects of webinar. Attends planning mtg. Provides webinar process overview, orientation and training for all webinar hosts, presenters and moderators. Prepares both physical and online webinar environment. Conducts a dry-run event; Provides instructional design consultation. Coordinates with helpdesk and technology partners. Review, post formatted materials to server. Prepare archive and webinar evaluation report.
During Webinar
Note: The host and moderator roles are not always required. These roles may be filled by TLS staff, fellow Faculty, Program Managers, or off-site colleagues.
Host - Welcomes the participants with the prepared welcome script, introduces the presenter(s), and verbally transitions the participants during the changing of presenters and/or topics. The host monitors time and keeps webinar on track–intervening if necessary to protect other presenters’ or Q&A time. When not a presenter, the Host may also be responsible for audibly repeating (voicing) audience questions for presenters to answer, or may function as an online question moderator.
Presenter(s) - Presents during the webinar either individually or as panel member. Presenters can present and advance their slides locally from Knapp-Sanders bldg. or remotely by phone and web link. Presenters are responsible for providing all presentation materials (slides and/or handouts, electronic photo) at least 2 days prior to the event.
Moderator(s) - Filters and clusters participants questions about the webinar topic, and then forwards questions via the webinar software to presenters to verbally answer during a Q&A period(s). Depending on the Q&A format selected and the Moderator’s familiarity with the topic, he/she may also directly answer participant questions by text-either privately, or to all webinar participants.
Webinar Admins - (TLS staff) Prepare, monitor and run webinar environment and technology; open, close and record the webinar; monitor and respond to logistical and support questions. Webinar Admins also control events within the webinar such as, transitioning between windows (pods) such as slide presentations, break periods, poll questions, break-out activities, handouts/file downloads etc.
Tech Support - (Helpdesk staff) Assist participants in case of technical problems (connections, audio, visuals) before, during and after webinar events. There is persistent tech support/Helpdesk contact info available to the participants both on the webinar help page and in the webinar room.
